Billing Specialist (Part-Time)

This position involves responsibility for planning, assigning, and supervising major account keeping billing activities and/or independently performing difficult and responsible account keeping functions.  This is a specialized financial work of a complex nature involving billing functions as related to revenue sources for BOCES operations.  This position may involve preparing various reports and analyses with minimal supervision, as requested by management.  The incumbent works under the general supervision of the Assistant Superintendent for Administrative Services and may report directly to a Coordinator or Director.  Supervision is not a responsibility of this position.  Does related work as required.

  • Responsible for the periodic billing for BOCES services provided to component school districts, non-component districts, and cross contracts as related;
  • Communicates with school district officials, other BOCES, BOCES internal departments, and the State Education Department;
  • Responsible for receiving and accounting for large amounts of money in payment for a variety of bills, and related obligations;
  • Responsible for the classification of a complex variety of receipts and expenditures and the distribution of costs according to prescribed accounting codes;
  • Assists in the preparation of annual operating budgets and ensures the maintenance of necessary financial controls;
  • Systematizes, revises and maintains account keeping methods and procedures;
  • Compiles, prepares and analyzes a variety of complex financial and statistical records and reports;
  • Prepares purchase orders and maintains a varied and complex set of accounting records; 
  • Responsible for state aid reporting;
  • Records and analyzes data for use by management

Principal Account Clerk (Anticipated)

Salary: $33,295-$48,968, annually, commensurate with experience relevant to the position

Location: Saratoga Springs, NY (onsite, No remote option)

Work Hours: Monday-Friday;7:30A-3:00P

The work of the Principal Account Clerk involves responsibility for planning, assigning and supervising major account keeping activities and/or independently performing difficult and responsible account keeping functions.  The work is performed under general direction and in accordance with outlined policies and procedures, with considerable leeway allowed for the use of independent judgment for carrying out the details of the work.  Supervision may be exercised over the work of subordinates. Does related work as required.

  • Plans, assigns and reviews the maintaining and checking of a wide variety of financial records and reports and instructs employees in the specialized details of the work;
  • Oversees and assists in the classification of a complex variety of receipts and expenditures and the distribution of costs according to prescribed codes;
  • Directs the audit of varied accounts, claims and records and the preparation of reports thereon;
  • Has charge of the compilation, preparation and analysis of a variety of complex financial and statistical records and reports;
  • Assists in the preparation of annual operating budgets and insures the maintenance of necessary financial controls;
  • Takes receipt and accounts for money related to a variety of bills, taxes and related obligations;
  • Revises, organizes, systematizes and installs account keeping methods and procedures;
  • Reconciles ledgers of revenue received with bank statements;
  • Conducts correspondence in connection with financial matters;
  • May supervise the preparation of purchase orders and the securing of bids from vendors;
  • May have charge of preparation of payroll and allied payroll functions including Health And Dental Insurance;
  • May prepare and process, or supervise the preparation and processing of payments and reports relative to employee benefits such as insurances, labor unions, credit unions, and pension funds;
  • May be responsible for the preparation of all civil service functions;
  • May assist in onboarding and offboarding functions;
  • May assist in the management of archives.
