This position exists in the WSWHE BOCES and involves responsibility for ordering instructional technology for component school districts, supporting the BOCES and component district participation in the e-rate program, managing the billing for telecommunications services and related duties.  This position will work closely with the Business Office, IT Asset Manager and Supervisor for Technology Procurement and Management as support with technology orders and assets for the component school districts and the BOCES.  The position requires the ability to interpret and communicate New York State contract requirements, as well as identify procurement mechanisms for a wide variety of technology hardware and software solutions. The incumbent is expected to exercise a considerable amount of independent judgment and initiative in the performance of duties. Organizational skills, along with the ability to assess a process or situation and breakdown the appropriate steps to efficiently accomplish the task are required to be successful in this position. Performs related tasks as needed.

  • Reviews purchasing requests for instructional technology (hardware, software, telecommunications) from school districts.  Assesses sourcing options for the lowest price/ the best value and contractual compliance and documents same;
  • Monitors and processes telecommunication and copier procurement for component school districts and the BOCES, including submitting billing reports to the accounting department;
  • Create purchase orders to fulfill purchasing requests;
  • Participates in bid assessments, certification of awarded vendors, and communicating with schools and internal programs on the status of funding applications and reimbursements for e-rate and potentially other programs;
  • Assists supervisor with creating and posting government funding applications for e-rate and potentially other programs;
  • Assist in the development of solicitation documents, review of solicitation submittals and/or proposals and participate in the contract award process for e-rate;
  • Assist as needed in the receiving of goods in the warehouse;
  • Establish and maintain professional relationships with school districts and vendors;
  • Facilitate communication and education on requirements to use state contracts along with other approved procurement mechanisms such as contract solicitations and cooperative purchasing agreements;
  • Daily monitoring, updating and auditing of district order tracking spreadsheets;
  • Create telecommunications and copier maintenance budget forecasts by compiling usage trends based on current and past allocations;
  • Monitors, confirms, and tracks open orders to ensure timely and accurate delivery.

Job Qualifications
  • Possession of an associate degree or higher in Business Administration, Computer Technology, or related field plus (2) two years of business experience or related work; OR

  • Graduation from high school or possession of an equivalency diploma and (4) four years of business experience or related work.
